Return Policy

1. Overview

At Vodnarexghap, we are committed to ensuring your satisfaction with our photography workshops and services. This Return Policy outlines the terms and conditions for cancellations, refunds, and rescheduling of our workshop services. We understand that plans can change, and we have designed this policy to be fair and transparent for all participants.

Please read this policy carefully before making a booking. By registering for any of our workshops, you acknowledge that you have read, understood, and agree to the terms outlined in this Return Policy.

2. Workshop Cancellation by Participant

We understand that circumstances may arise that prevent you from attending a scheduled workshop. Our cancellation policy is as follows:

2.1 Cancellation More Than 14 Days Before Workshop

If you cancel your workshop registration more than fourteen (14) days before the scheduled start date of the workshop, you are entitled to a full refund of the workshop fee. The refund will be processed within 10 business days of receiving your cancellation request.

To request a cancellation, please contact us via email or phone with your booking reference number and the reason for cancellation. We will confirm receipt of your cancellation request within 2 business days.

2.2 Cancellation 7-14 Days Before Workshop

If you cancel your workshop registration between seven (7) and fourteen (14) days before the scheduled start date, you are entitled to a 50% refund of the workshop fee, or alternatively, you may transfer your registration to another workshop session within six (6) months of the original date at no additional cost.

We encourage participants to consider the transfer option as it allows you to still benefit from the educational experience at a more convenient time.

2.3 Cancellation Less Than 7 Days Before Workshop

If you cancel your workshop registration less than seven (7) days before the scheduled start date, unfortunately, we cannot offer a refund. This policy exists because we incur costs for materials, venue, and instructor preparation that cannot be recovered at short notice.

However, in this situation, you have the following options:

• Transfer your registration to another person at no additional cost
• Receive a credit voucher for 75% of the workshop fee, valid for 12 months from the original workshop date

2.4 No-Show Policy

If you do not attend the workshop without prior notice (a "no-show"), you will not be eligible for any refund, credit, or transfer. We strongly encourage all participants to notify us as early as possible if they cannot attend, even if it is within 7 days of the workshop date.

3. Workshop Cancellation by Vodnarexghap

In rare circumstances, we may need to cancel a workshop. This may occur due to:

• Insufficient enrollment (minimum participant requirements not met)
• Instructor illness or emergency
• Venue unavailability or issues
• Severe weather conditions that make attendance unsafe
• Public health emergencies or government restrictions
• Other circumstances beyond our reasonable control

3.1 Notice of Cancellation

If we need to cancel a workshop, we will notify all registered participants as soon as possible via the email address and phone number provided during registration. We aim to provide at least 48 hours notice whenever circumstances permit.

3.2 Refund Options

If we cancel a workshop, you will be offered the following options:

• A full refund of all fees paid for the workshop
• Transfer to an alternative workshop date at no additional cost
• A credit voucher for the full amount, valid for 18 months

Refunds for workshops cancelled by Vodnarexghap will be processed within 5 business days of your refund request.

4. Rescheduling

We understand that flexibility is important. Here are our rescheduling policies:

4.1 Rescheduling More Than 7 Days Before Workshop

If you request to reschedule your workshop registration more than seven (7) days before the scheduled start date, we will transfer your registration to another available workshop date at no additional cost. The new date must be within six (6) months of the original date, subject to availability.

4.2 Rescheduling Less Than 7 Days Before Workshop

If you request to reschedule less than seven (7) days before the scheduled start date, a rescheduling fee of €25 will apply. This fee covers administrative costs associated with last-minute changes.

4.3 Multiple Rescheduling

Each registration may be rescheduled a maximum of two (2) times. After the second rescheduling, any further changes will be treated as a cancellation and subject to the cancellation policy outlined above.

5. Transfers to Another Person

You may transfer your workshop registration to another person at any time before the workshop begins. To transfer your registration, please provide us with the following information about the new participant:

• Full name
• Email address
• Phone number

There is no fee for transferring your registration to another person. The new participant will assume all responsibilities and rights associated with the original registration.

6. Special Circumstances

We recognize that exceptional circumstances may arise that are beyond your control. In cases of documented emergencies such as:

• Serious illness or hospitalization (with medical documentation)
• Bereavement of an immediate family member
• Travel disruptions due to natural disasters or transportation strikes
• Other documented emergencies

Please contact us as soon as possible. We will review each case individually and do our best to accommodate your situation fairly. We may request documentation to verify the circumstances.

7. Refund Process

7.1 How to Request a Refund

Please include your booking reference number, the workshop date, and the reason for your refund request.

7.2 Refund Processing Time

Once your refund request is approved, the refund will be processed as follows:

• Credit/Debit Card payments: 5-10 business days to appear on your statement
• Bank transfers: 3-5 business days
• Other payment methods: Processing time varies; we will inform you at the time of refund approval

Refunds will be issued to the original payment method used during registration. If you used a different payment method, please contact us to discuss alternative arrangements.

7.3 Partial Attendance

If you attend some but not all sessions of a multi-session workshop, you are not entitled to a partial refund for the sessions you missed, unless the missed sessions were due to our cancellation or rescheduling.

8. Credit Vouchers

Credit vouchers issued under this policy are subject to the following conditions:

• Vouchers are valid for the period specified at the time of issue
• Vouchers are non-transferable unless otherwise agreed in writing
• Vouchers cannot be exchanged for cash
• Vouchers can be used for any workshop offered by Vodnarexghap
• If the new workshop costs more than the voucher value, the difference must be paid at the time of booking
• If the new workshop costs less than the voucher value, the remaining balance will be retained as credit for future use

9. Group Bookings

For group bookings (5 or more participants), special cancellation terms may apply. Please contact us at the time of booking to discuss group booking conditions. Generally, group bookings require:

• A non-refundable deposit of 25% of the total booking value
• Cancellation notice of at least 21 days for a full refund of the remaining balance
• Written confirmation of the final participant names at least 7 days before the workshop

10. Private and Custom Workshops

For private workshops or custom programs tailored to your specific needs, cancellation terms are established at the time of booking and are included in your booking confirmation. Generally, custom workshops have stricter cancellation terms due to the additional preparation and resources involved.

11. Disputes

If you are dissatisfied with our handling of your refund request, please contact us to discuss your concerns. We are committed to resolving any issues fairly and promptly. If we cannot reach a satisfactory resolution, you may have the right to pursue the matter through consumer protection agencies or legal channels as provided by Dutch law.

12. Changes to This Policy

We reserve the right to modify this Return Policy at any time. Any changes will be effective immediately upon posting the updated policy on our website. The "Last Updated" date at the top of this page indicates when the policy was last revised.

Your continued use of our services after any changes to this policy constitutes your acceptance of the new terms. We encourage you to review this policy periodically for any changes.
